Start with the shortest useful payload
A QR code does not store a destination magically: it stores text. Shortening a long tracking URL can reduce the number of modules needed, leaving larger squares at the same print size. Remove campaign parameters if they are not needed for the printed job.
For Wi-Fi and contact codes, use the labelled fields in the generator rather than pasting a homemade string. The punctuation in those formats has meaning; a stray semicolon can make a code that scans but does not do the intended thing.
Choose size from the finished object
Choose the finished print size before you export. Download SVG when a printer or designer can use it: unlike a raster image, it scales without softening. For PNG, choose enough pixels for the finished size and avoid stretching or resampling the downloaded image.
Keep the light border around the code. That blank area is the quiet zone that lets a camera find the symbol; trimming it to make a layout feel tighter is a common cause of scanning failures.
Do a physical test before a full run
Print one sample at final size, on the actual paper or material. Scan it with more than one phone, under ordinary light and at the distance a visitor will use. A code that works from a bright monitor may fail on glossy stock, a curved bottle or a dark menu.
If it fails, make the code physically larger first. Then shorten the payload, restore margin, and use dark modules on a light background for the broadest scanner compatibility.
Example: check a guest Wi-Fi card
Choose Wi-Fi, enter your actual guest network name and password, and select the security type used by that network. Check the encoded text shown by the tool before downloading; do not add a logo or crop the default four-module margin.
Print a single card. With a test phone disconnected from that network, scan it and confirm that it offers the right network and successfully joins. Reading the code alone is not enough. The password is recoverable from the code, so only distribute it where you would distribute the guest password.
